QuickBooks Desktop Year-End Checklist: Closing Your Books the Right Way
Closing out the year in QuickBooks Desktop properly now saves you (and your accountant) hours of cleanup later. Here's the sequence worth following before you file.
1. Reconcile Every Account
Make sure every bank and credit card account is reconciled through December 31st. Unreconciled transactions are the single biggest source of year-end discrepancies — clear them before touching anything else.
2. Review Outstanding Invoices and Bills
Run an Accounts Receivable Aging and Accounts Payable Aging report. Write off invoices that genuinely won't be collected, and confirm any bills still open are actually still owed — stale entries distort your year-end financials.
3. Run Your Core Year-End Reports
- Profit & Loss (full year, compared to the prior year)
- Balance Sheet as of December 31st
- 1099 Summary (if you pay contractors)
- Inventory Valuation Summary, if you track inventory
4. Set the Closing Date
Under Edit → Preferences → Accounting → Company Preferences, set a closing date for December 31st and add a password. This locks prior-year transactions from accidental edits — QuickBooks will still allow changes with the password, but you'll see a warning first.
5. Back Up the Closed Year
Once everything reconciles and the closing date is set, take a full backup labeled clearly with the year (e.g., "CompanyFile_2026_YearEnd.qbb") and store it separately from your regular rolling backups. This becomes your permanent audit-ready snapshot.
Following this order — reconcile, review, report, close, back up — keeps your year-end process repeatable instead of a scramble every December.
