How to Backup and Restore Your QuickBooks Company File
Your QuickBooks company file holds years of invoices, payroll, and reconciliations. A solid backup routine is the difference between a minor inconvenience and losing all of it to a crashed hard drive or a bad update.
Creating a Backup
Go to File → Back Up Company → Create Local Backup, choose a location outside your main drive (external disk, network share, or cloud-synced folder), and let QuickBooks generate a .qbb file. This is a compressed snapshot of your entire company file, not just a copy of the working file.
Setting Up Automatic Backups
In the same backup dialog, you can schedule automatic backups every time you close the company file, or on a fixed schedule (daily, weekly). Set QuickBooks to keep at least 3-5 recent backups so a single corrupted save doesn't wipe out your only safety net.
Restoring From a Backup
If your working file becomes corrupted or you need to roll back after a data-entry mistake, use File → Open or Restore Company → Restore a Backup Copy, select your .qbb file, and choose where to save the restored company file. Always restore to a new file name rather than overwriting your current one, so you can compare data before committing.
- Never store your only backup on the same physical drive as the working file
- Test a restore at least once so you know the process works before you actually need it
- Automatic backups on file close are the easiest way to stay protected without remembering
- Keep a backup before every major update or year-end close, in addition to your regular schedule
Five minutes spent backing up regularly is nothing compared to the hours it takes to rebuild a company file from scratch — or the data that simply can't be recovered if you never had a backup at all.
