How to Convert QuickBooks Online Data to Desktop
Plenty of businesses start on QuickBooks Online for its simplicity, then outgrow it once transaction volume, job costing, or inventory needs get more demanding. Moving that data into Desktop is a supported, if slightly involved, process.
Before You Start
You'll need an active QuickBooks Desktop installation and an active QuickBooks Online subscription during the conversion — the export tool runs from inside Desktop and pulls your Online data over. Make sure your Desktop version supports the conversion tool for your Online plan before beginning.
Running the Conversion
In QuickBooks Desktop, use File → Utilities → Convert Online to Desktop (or the equivalent Company File Import wizard for your version). Sign in with your QuickBooks Online credentials when prompted, then follow the wizard through selecting the company to import. This creates a brand-new Desktop company file — it does not merge into an existing one.
What Transfers and What Doesn't
Core data — chart of accounts, customers, vendors, items, and transaction history — typically transfers cleanly. Some Online-specific features (certain app integrations, Online-only report customizations) won't carry over and need to be rebuilt manually in Desktop after the conversion.
- Back up or export key Online reports before converting, in case anything needs to be cross-checked afterward
- The conversion creates a new company file — verify balances against Online before you start using it live
- Reconcile bank accounts again after conversion to confirm nothing shifted during the import
- Plan the cutover for a period boundary (start of a month or quarter) to keep your books clean
Once verified, you can cancel the Online subscription and run your books entirely from Desktop — no more monthly fee, and the deeper reporting and job-costing tools Desktop offers for growing businesses.
